Job Summary
We are seeking a dynamic and highly organized Personal Assistant to support executive leadership and streamline daily operations. Responsibilities
- Manage complex calendars using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and travel arrangements with attention to detail.
- Provide executive administrative support by preparing reports, proofreading documents, transcribing notes, and handling correspondence efficiently.
- Coordinate projects and events from planning stages through execution, ensuring all logistics are handled seamlessly.
- Oversee office management tasks including filing, data entry, bookkeeping using QuickBooks, and maintaining organized records.
- Handle multi-line phone systems with professional phone etiquette while assisting visitors at the front desk or via phone calls.
- Manage client and vendor communications through email and phone, ensuring timely responses and follow-up actions.
- Support bookkeeping activities such as invoicing, expense tracking, and reconciling accounts to maintain accurate financial records.
- Utilize office software including Microsoft Office Suite and Google Workspace for document creation, editing, and collaboration.
- Assist with transcription of meetings or interviews and perform proofreading to ensure clarity and accuracy in all documents.
- Maintain confidentiality of sensitive information while providing outstanding customer service to internal teams and external contacts.
Experience
- Proven experience as a Personal Assistant or in an administrative support role with demonstrated excellence in calendar management and office organization.
- Prior experience with event planning, project coordination, bookkeeping (QuickBooks preferred), and office management is highly desirable.
- Strong proficiency in computer literacy including Microsoft Office (Word, Excel), Google Workspace (Docs, Sheets), data entry systems, and multi-line phone systems.
- Excellent organizational skills with the ability to multitask effectively in a fast-paced environment.
- Exceptional communication skills with professional phone etiquette and customer service orientation.
- Experience handling clerical tasks such as filing, data entry, proofreading, transcription, and managing office supplies is essential.
- Knowledge of office procedures including front desk operations and familiarity with electronic signature platforms like DocuSign is advantageous.
