Payroll Specialist and HR Assistant – Heavy Civil Construction (Ridgefield, WA) Jobs in Ridgefield, WA at Legacy 6, Inc.

Position Summary

The Payroll & Human Resources Specialist supports daily payroll, HR administration, compliance, and employee lifecycle activities. This role ensures accurate recordkeeping, regulatory compliance, and efficient coordination of HR and operational processes while supporting field and office staff.

Key Responsibilities

  • Maintain and update HR Standard Operating Procedures (SOP) files on the company server
  • Administer the Return-to-Work (RTW) process and documentation
  • Issue and track employee write-ups, verbal warnings, and disciplinary documentation
  • Coordinate and distribute the monthly Employee Review Schedule
  • Assist with employee relations matters including FMLA coordination and leave tracking
  • Manage unemployment claims and employment verifications
  • Conduct employee terminations, exit interviews, and coordinate final paychecks

Employee Onboarding & Offboarding

  • Coordinate new hire onboarding including scheduling UA screenings and physicals
  • Maintain new hire document filing and compliance records
  • Track and reconcile onboarding and incident-related costs

Compliance & Safety

  • Maintain CDL driver qualification files and support DOT audit readiness
  • Maintain incident documentation and cost tracking
  • Support company safety programs and coordinate ordering of PPE including safety vests, hard hats, and related equipment for all new hires

Operational Support

  • Track and reconcile company uniforms and equipment
  • Manage checkout and return of company property including keys, access cards, and uniforms
  • Reconcile company fuel cards
  • Maintain and track company uniform inventory

Payroll & Employee Records

  • Maintain PTO tracking and operations PTO/Out-of-Office calendar
  • Support payroll documentation and employee record accuracy
  • Track employee benefits and leave usage

Qualifications

  • 3+ years of experience in payroll and HR administration (construction industry preferred)
  • Knowledge of Washington State employment regulations and compliance requirements
  • Familiarity with L&I claims, DOT/CDL documentation, and FMLA administration preferred
  • Strong organizational skills and attention to detail
  • Proficiency with Microsoft Office, HRIS systems, and digital document management
  • Ability to manage confidential information with professionalism and discretion

Pay: $28.00 – $35.00 per hour
