Job Overview
This is a newly created position designed to support our growing client base and assist our payroll and bookkeeping team. The ideal candidate is highly organized, detail-driven, and understands how accounting and payroll function in a professional services environment. This role requires someone who can quickly learn processes, work independently, and handle confidential client information with accuracy and discretion.

The hours are Mondays through Thursdays working from 10 am to 2 pm.

Responsibilities May Include:

Client Payroll & Accounting Support

  • Enter and maintain W-9 data in accounting and payroll software
  • Request, track, and follow up on W-9 forms from clients and their vendors
  • Understand the 1099 process, including purpose, compliance requirements, and year-end deadlines
  • Update and maintain employee information for multiple client payroll accounts
  • Assist with payroll processing for multiple small business clients
  • Support bookkeeping staff with payroll-related and accounting tasks as needed
  • Pull and prepare payroll, accounting, and client reports
  • Assist with year-end payroll and 1099 processing

Client Services & Office Support

  • Answer incoming phone calls professionally and route appropriately
  • Communicate clearly with internal team members regarding client needs
  • Assist with general administrative and office tasks as needed

Requirements (This role is not an entry-level):

  • Solid understanding of accounting fundamentals (debits/credits, payroll flow, basic financial concepts)
  • Prior experience in bookkeeping, payroll, accounting, or a professional services office
  • Comfort working with multiple clients and deadlines simultaneously
  • Experience using accounting and/or payroll software (QuickBooks, payroll platforms, etc. preferred)
