Summary
Fast-paced tire lube shop seeking a Part Time Service Coordinator Assistant to help keep daily operations organized by coordinating vehicle flow, communicating with customers and rental staff, tracking service progress, and supporting technicians with paperwork and scheduling. Schedule availability must be 8:00AM – 5:00 PM on weekdays, Saturdays, and some holidays.
This role is ideal for someone who is organized, dependable, comfortable with manual processes, and able to multitask in a busy automotive environment.
Key Responsibilities:
Customer & Front Desk Support
- Greet walk-in customers and assist with service check-ins
- Answer phone calls, messages, and customer inquiries
- Explain basic services, pricing, and estimated wait times
- Create and update work orders manually and/or in shop software
- Collect customer information and vehicle details accurately
- Assist with invoicing and payment processing
Service Coordination
- Coordinate daily workflow between technicians, customers, and staff
- Monitor service queue and update job status throughout the day
- Schedule appointments and prioritize urgent fleet vehicles
- Ensure vehicles move efficiently through inspection, tire, lube, and repair services
- Communicate delays or additional repair needs to customers and management
- Track maintenance schedules for vehicles
- Coordinate preventive maintenance, oil changes, tire rotations, and inspections
- Maintain records for completed services and upcoming maintenance
- Help prepare vehicles for return-to-service quickly and accurately
Administrative Duties
- Maintain paper files, service logs, and inventory records
- Assist with ordering shop supplies and tires when needed
- Update spreadsheets or tracking forms for daily operations
- File receipts, invoices, and maintenance documentation
- Support management with reports and operational tasks
Shop Operations
- Help maintain a clean and organized front office and service area
- Assist with vehicle movement and lot organization if needed
- Follow safety procedures and company policies
- Support team members during busy periods
Qualifications
- High school diploma or equivalent preferred
- Previous customer service, office assistant, or automotive experience preferred
- Basic computer and phone skills
- Strong organization and multitasking ability
- Comfortable working in a fast-paced environment
- Good communication and teamwork skills
- Ability to handle manual paperwork and detailed tracking processes
- Valid driver’s license preferred
