Overview
We are seeking a dependable, detail-oriented Administrative Assistant to support our office operations. This position will assist with data entry, recordkeeping, invoicing, document management, and a variety of administrative tasks that help keep our business organized and running efficiently.

Compensation starts at $16.00 per hour, with higher pay available based on experience, qualifications, and skill level. Additional hours and responsibilities may be available for the right candidate.

The ideal candidate is organized, reliable, comfortable working with computers, and takes pride in accuracy and attention to detail. We are looking for someone who enjoys keeping things organized, notices details others may miss, and takes satisfaction in helping a busy office run smoothly.

Responsibilities

  • Data entry and record maintenance
  • Assisting with invoicing and accounts receivable tracking
  • Organizing digital files, documents, and customer records
  • Updating spreadsheets, reports, and tracking systems
  • Scanning, filing, and maintaining office documentation
  • Preparing and assembling customer and job files
  • Assisting with administrative paperwork and office correspondence
  • Monitoring and organizing email communications
  • Following up on administrative tasks and outstanding paperwork
  • Entering and maintaining information within company software systems
  • Assisting management with special projects and day-to-day office support

Qualifications

  • Strong attention to detail and organizational skills
  • Proficiency with Microsoft Office, especially Excel
  • Comfortable learning and working within multiple software platforms
  • Ability to work independently and manage multiple tasks
  • Professional communication skills
  • Ability to maintain confidentiality when handling employee, customer, and company information
  • Experience with QuickBooks Online is a plus
  • Experience with CRM, accounting, scheduling, or business management software is a plus
  • Previous administrative, bookkeeping, office, customer service, or data entry experience is preferred but not required

Schedule

This is a part-time position averaging approximately 15-20 hours per week. Initial training will take place during regular office hours. Once the employee is comfortable with the position and able to work independently, scheduling can be flexible. Additional hours may be available for the right candidate based on performance, experience, and business needs.
