Job Description
GENERAL STATEMENT OF DUTIES
Perform administrative responsibilities for the Parks and Recreation Department. Work in a safe and responsible manner, including following both OSHA and Town of Colchester safety policies.
WORK SCHEDULE Monday-Friday, 8:00am-4:30pm with a half hour lunch (40 hours/week). SUPERVISOR Works under the direct supervision of the Director of Parks and Recreation SUPERVISION EXERCISED None
ESSENTIAL DUTIES
- Create flyers, emails, and marketing material to promote departmental programs.
- Assist in the preparation and promotion of special events as assigned.
- Customer service and program reservations and registrations, including in-person, email and phone.
- Assist in the maintenance of department web page.
- Maintain or create document filing.
- Comply with Town of Colchester Personnel Policies
- Process and Submit requests for payment and deposit forms.
- Responsible for billing and collection on delinquent accounts
- Protect the confidentiality of all information, including personal information of employees, clients, and campers as well as proprietary business data, intellectual property and represent the department professionally.
- Assist with events and activities, as needed.

- Attend ongoing training programs, as requested.
REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES
1) Must have:
- Knowledge of office management practices and procedures.
- Strong interpersonal skills and ability to work well with the public.
- Excellent written and oral communication skills.
- Understanding of procedures Strong communication, organizational efficiency, and customer service skills.
- Bookkeeping and general math ability.
2) Must be able to:
- Communicate and work effectively with a diverse group of people.
- Exhibit professional manners with clients, co-workers, and the public.
- Work independently or as part of a team.
- Prioritize duties and exercise effective time management.
- Maintain accurate records.
- Lift and/or move up to 45 pounds.
- Perform the essential functions of the job with minimal supervision Effectively operate software necessary for the job, such as Word, Excel, Outlook, Publisher, and Munis.
EDUCATION AND EXPERIENCE
- High School diploma or equivalent
- Two years’ experience in administrative assistant work with municipal experience preferred; or an equivalent combination of education and experience.
