Operations Coordinator / Executive Assistant Jobs in Gilbert, AZ at Relentless Pursuit Construction LLC

Relentless Construction is a fast-growing, licensed general contractor in Gilbert, AZ specializing in residential window & door replacement, with a growing roofing division. We’re hiring an Operations Coordinator / Executive Assistant to be the operational backbone of our office — owning window order entry, keeping our sales pipeline clean, and taking work off the plates of our CEO and CFO so the team can keep growing.

This is a ground-floor seat at a young, fast-moving company with a real path to Operations Manager. If you’re obsessive about accuracy, thrive in a fast pace, and like building systems instead of just following them — this is your seat.

What You’ll Do

Order Entry & Production Support

  • Enter window & door orders accurately into manufacturer portals — verifying sizes, glass packages, colors, and specs against the signed contract and measure sheet
  • Track every order from submission to delivery and proactively flag delays
  • Coordinate with the install team on material arrival and install dates
  • Manage remakes, warranty claims, and damaged/missing parts directly with manufacturers
  • Pull permits and schedule inspections with local municipalities

Pipeline & CRM Management

  • Keep our CRM (GoHighLevel) clean and current — every lead, appointment, and deal in the right stage
  • Move deals through the pipeline, trigger follow-ups, and keep dispositions accurate
  • Build weekly reporting (pipeline, sold jobs, install schedule) for leadership
  • Support the sales team with appointment scheduling and confirmations

Executive & Office Support

  • Manage calendars, schedule meetings, and handle follow-ups for the CEO and CFO
  • Prep contracts, change orders, and documents; light data entry into QuickBooks as directed
  • Coordinate with vendors and suppliers; track purchase orders and deliveries
  • Run point on office operations and ad-hoc projects — the dependable "get it done" person

What You Bring

  • 2+ years in operations coordination, executive assistance, order entry, or office administration (construction, home services, or manufacturing a big plus)
  • Relentless attention to detail — order errors cost real money and time, so accuracy is the job
  • Comfortable in CRMs and spreadsheets, and fast at learning new software
  • Strong written and verbal communication; able to support two busy leaders and juggle priorities
  • Self-starter who thrives in a fast-moving, build-as-we-go environment
  • Reliable, in-office, on-time presence in Gilbert

Nice to Have

  • Window/door or roofing industry experience
  • Familiarity with GoHighLevel and QuickBooks
  • Experience at an EOS/Traction-run company

Compensation

  • $25–$32/hr depending on experience
  • Full-time, in-office (Monday–Friday) in Gilbert, AZ
  • Ground-floor role at a high-growth company with a clear path to Operations Manager
