Job Summary:
We are looking for a reliable and detail-oriented Operations Assistant to support finance, HR, and overall business operations within our marketing agency. This role is ideal for someone with a strong foundation in business administration who is highly organized, adaptable, and capable of supporting cross-functional initiatives in a fast-paced, creative environment.
Key Responsibilities:
- Finance & Administrative Support
- Assist in day-to-day finance operations, including expense monitoring, collections, and payment coordination
- Maintain accurate financial records, trackers, and supporting documentation
- Support basic finance processes, reconciliations, and report preparation
- Coordinate with suppliers, freelancers, and partners on billing and payments
- HR & People Operations
- Support recruitment processes, applicant tracking, and HR database maintenance
- Assist in onboarding, offboarding, and employee orientation programs
- Help organize employee engagement initiatives, welfare programs, and company events (e.g., trainings, celebrations)
- Facilitate internal communications, announcements, and employee updates
- Provide support in maintaining HR systems, records, and compliance-related documentation
- Assist in coordinating partnerships related to talent development (e.g., schools, internship programs)
- Operations & Office Management
- Provide general administrative and clerical support, including documentation, filing, and records management
- Assist in office organization, logistics coordination, and day-to-day operational needs
- Support internal programs and initiatives that enhance employee experience and workplace efficiency
- Coordinate operational requirements such as deliveries, procurement, and basic asset or equipment concerns
- Ensure adherence to internal policies and assist in compliance-related activities
Qualifications
- Bachelor’s degree in Business Administration, Human Resources, or related field
- Knowledge of basic finance principles; experience is a plus
- Proficient in Google Workspace, Microsoft Office, and other business tools
- Highly organized with strong attention to detail
- Strong communication and coordination skills
- Trustworthy and able to handle confidential information
- Proactive, adaptable, and able to manage multiple responsibilities
- Open to fresh graduates
