We are seeking a dynamic and highly organized Office & Scheduling Coordinator to join our roofing and construction team. This vital role ensures seamless office operations, efficient scheduling, and effective communication across multiple departments. Responsibilities
- Manage daily office operations, including front desk duties, multi-line phone systems, and greeting visitors with professionalism and courtesy.
- Coordinate project schedules by managing calendars for field teams, vendors, and clients to ensure timely project execution.
- Oversee vendor management by maintaining relationships, processing invoices, and ensuring timely payments using QuickBooks or similar accounting software.
- Assist with human resources functions such as onboarding new employees, maintaining personnel files, and supporting training & development initiatives.
- Handle bookkeeping and budgeting tasks, including tracking expenses, preparing reports, and supporting payroll processes.
- Organize files, maintain accurate records of project documentation, permits, contracts, and correspondence for easy retrieval.
- Support office management activities such as ordering supplies, overseeing clerical tasks, and ensuring the office environment is efficient and welcoming.
Experience
- Proven experience in office administration or office management within a construction or roofing environment is preferred.
- Demonstrated supervisory experience with the ability to oversee team members and coordinate multiple tasks simultaneously.
- Strong proficiency in scheduling management tools and calendar coordination to optimize project timelines.
- Familiarity with vendor management processes and basic accounting software such as QuickBooks.
- Excellent communication skills with the ability to handle phone etiquette professionally across multi-line systems.
- Experience in event planning or coordinating meetings/training sessions is a plus.
- Knowledge of local area is a plus.
- Roofing or construction experience is a plus, but not required.
Pay: $15.00 – $22.00 per hour
