Office Operations Coordinator (Part-Time) Jobs in Kentwood at One Day Doors and Closets

We’re Hiring TWO Office Operations Coordinators!
West Michigan Doors & Closets is building our office team, and we’re looking for two exceptional people who enjoy helping customers, staying organized, and making a real difference in a growing local business.

Available Shifts:

  • Morning: 7:00 AM – 12:30 PM (30-minute unpaid lunch)
  • Afternoon: 12:00 PM – 5:00 PM

Both positions are hired together, trained together, and cross-trained across all office operations. While each shift has primary responsibilities, every team member answers phones, qualifies leads, schedules appointments, and helps deliver an exceptional customer experience.

Core Responsibilities (Both Positions)

· Answer incoming calls professionally and create a great first impression.

· Qualify prospective customers using our proven process.

· Schedule complimentary 15-minute in-home measures and showroom appointments.

· Respond promptly to website inquiries and voicemail messages.

· Maintain accurate records in Zoho CRM.

· Communicate clearly with customers and teammates.

· Keep customer information organized and up to date.

· Help ensure nothing falls through the cracks.

Morning Shift – Primary Focus

· Follow up with unscheduled leads.

· Reconnect with past customers.

· Build relationships with designers, builders, Realtors, and referral partners.

· Request Google reviews.

· Create Facebook and Instagram posts.

· Draft email marketing campaigns and newsletters.

· Help promote seasonal offers and completed projects.

Afternoon Shift – Primary Focus

· Coordinate production measures and installation schedules.

· Verify products have arrived before installations are scheduled.

· Update Zoho, CompanyCam, and QuickBooks Projects.

· Prepare project documentation.

· Review active projects for completeness.

· Improve SOPs, checklists, and office systems.

· Identify ways to improve efficiency and customer service.

When Customer Needs Are Current

Customer needs always come first. When phones are quiet and active projects are up to date, both shifts contributes to growing the business by:

· Strengthening referral partner relationships.

· Improving office procedures and documentation.

· Auditing active projects and customer records.

· Taking on projects that improve the customer experience.

Pay: $19.00 – $23.00 per hour
