Job Summary
Luxury home architectural and construction company is seeking a dynamic and organized Office Manager / Bookkeeper to join our team! In this vital role, you will oversee daily office operations, ensure smooth administrative workflows, and manage bookkeeping responsibilities with precision and professionalism.

  • Primary position task will be to manage construction project financials including paying bills, updating project budgets, filing vender W9’s / Insurance certificates, updating and creating change orders.
  • Manage online permit review process, apply for permits and address permit comments.
  • Manage front desk duties including greeting visitors, answering phone systems, and providing exceptional customer service.
  • Oversee bookkeeping tasks utilizing QuickBooks to process invoices, track project budgets, and reconcile accounts regularly.
  • Maintain organized filing systems, perform data entry, and ensure accurate recordkeeping for all office documents..
  • Support office management activities such as ordering supplies, coordinating maintenance, and ensuring a clean and welcoming environment.
  • Deliver excellent customer support through phone etiquette and professional communication with clients, vendors, and team members.

Experience

  • 5 years minimum experience of QuickBooks accounting software for bookkeeping tasks is required.
  • Strong computer literacy including proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications.
  • Proven office experience or administrative background with a focus on customer service and clerical duties.
  • Demonstrated organizational skills with the ability to prioritize tasks efficiently while managing time effectively.

Pay: $55,000.00 – $65,000.00 per year
