<Duties>
- Oversee daily office operations, including front desk management, multi-line phone systems, and calendar scheduling to ensure seamless communication and organization.
- Manage vendor relationships by coordinating orders, negotiating terms, and maintaining service quality to support office needs.
- Supervise administrative staff and provide training & development opportunities to foster a motivated and skilled team.
- Handle bookkeeping responsibilities using QuickBooks or similar accounting software, including invoicing, expense tracking, payroll processing, and bank reconciliations.
- Maintain accurate financial records through diligent filing, data entry, and regular audits to ensure compliance and transparency.
- Assist with human resources functions such as onboarding new employees, managing employee files, and supporting HR policies.
- Coordinate special events or meetings through event planning skills to promote team engagement and professional development.
<Experience>
- Proven supervisory experience in an office or administrative environment with demonstrated leadership skills.
- Strong proficiency in QuickBooks for bookkeeping tasks such as payroll management, budgeting, invoicing, and expense tracking.
- Extensive office experience including clerical tasks like filing, data entry, and front desk responsibilities.
- Excellent communication skills with the ability to handle phone etiquette professionally across multi-line systems.
- Exceptional organizational skills for schedule management, calendar coordination, and document filing.
- Experience in medical office management or healthcare settings is a plus but not required.
- Prior experience in event planning or vendor management is highly desirable to support organizational growth initiatives.
