Duties

  • Manage front desk operations, including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette
  • Handle calendar management and scheduling for team meetings, appointments, and personal assistant tasks
  • Perform data entry, maintain filing systems, and assist with document proofreading to ensure accuracy and organization
  • Support bookkeeping activities using QuickBooks or similar accounting software, including invoicing, expense tracking, and basic financial record keeping
  • Coordinate office supplies procurement, inventory management, and ensure the office environment is well-organized and welcoming
  • Provide customer service support by addressing inquiries promptly via phone or email, ensuring positive interactions
  • Assist with Google Workspace applications (Docs, Sheets, Calendar) to facilitate collaboration and document management

Qualifications

  • Proven experience in office management or administrative roles with strong clerical and organizational skills
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools
  • Familiarity with QuickBooks or other bookkeeping software for basic financial tasks
  • Excellent computer literacy with the ability to perform data entry quickly and accurately
  • Strong multitasking abilities with effective time management skills
  • Bilingual capabilities are highly desirable to support diverse communication needs
  • Prior experience with front desk duties, multi-line phone systems, and customer support is preferred
  • Demonstrated professionalism in phone etiquette and customer service interactions
  • Personal assistant experience or calendar management expertise is a plus
