Job Summary
We are seeking a dynamic and highly organized Office Manager / Administrative Assistant to join our team. This vital role combines office management, administrative support, and team coordination to ensure smooth daily operations, supporting our ABA (Applied Behavior Analysis) Center treating children with Autism. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills to foster a productive work environment. You will oversee administrative functions, manage schedules, coordinate vendor relationships, and support various departments to help our organization run efficiently and effectively.
Responsibilities
- Manage daily office operations, including front desk duties, multi-line phone systems, and greeting visitors with professionalism and courtesy.
- Oversee calendar management for executives and team members, scheduling meetings, appointments, and events with precision.
- Coordinate event planning activities such as meetings, trainings, and company functions to ensure seamless execution.
- Supervise administrative staff and provide training & development opportunities to foster a motivated team environment.
- Handle vendor management by sourcing supplies, negotiating contracts, and maintaining strong supplier relationships.
- Support basic bookkeeping and payroll processing as appropriate.
- Support human resources functions including onboarding new employees, managing filing systems, and assisting with employee records.
- Assist with budgeting tasks by monitoring expenses and preparing financial reports; ensure compliance with organizational policies.
- Manage office supplies inventory, organize filing systems, and ensure the office environment is clean and organized at all times.
Qualifications
- Proven experience in office management or administrative roles within a professional setting.
- Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
- Excellent communication skills—both verbal and written—with professional phone etiquette.
- Experience with QuickBooks or similar bookkeeping software; familiarity with payroll processes is preferred.
- Demonstrated supervisory experience leading teams or managing administrative staff.
- Knowledge of event planning, vendor management, and calendar scheduling tools.
- Ability to handle multiple responsibilities such as filing, front desk duties, and multi-line phone systems efficiently.

Pay: $20.00 – $22.00 per hour
