We are seeking a dynamic and highly organized Veterinary Office Manager to lead the daily operations of our busy office environment. This role is essential in ensuring smooth administrative workflows, fostering a productive team atmosphere, and maintaining efficient office procedures. As an Office Manager, you will be the backbone of our administrative team, driving organizational success through effective management and leadership.

Duties

  • Oversee daily office operations, including front desk management, multi-line phone systems, and visitor coordination to ensure a welcoming and professional environment
  • Manage scheduling for staff meetings, appointments, and company events, ensuring calendars are up-to-date and conflicts are minimized
  • Supervise administrative staff, providing training and development opportunities to enhance team performance
  • Coordinate vendor relationships, negotiate contracts, and manage supplies to optimize office resources and budget adherence
  • Handle bookkeeping tasks using QuickBooks or similar accounting software, including invoicing, expense tracking, and petty cash management
  • Oversee human resources functions such as onboarding new employees, maintaining personnel records, and supporting payroll processes
  • Organize company events and team-building activities to foster a positive workplace culture
  • Maintain filing systems, ensure compliance with documentation standards, and support medical or specialized office management needs as required
  • Assist in receptionist duties if required

Requirements

  • Proven experience in veterinary office management or administrative roles with supervisory responsibilities
  • Strong organizational skills with the ability to manage multiple priorities efficiently
  • Excellent communication skills—both verbal and written—with professional phone etiquette
  • Proficiency in QuickBooks for bookkeeping and payroll processing; familiarity with budgeting practices is a plus
  • Experience with vendor management, contract negotiations, and supply procurement
  • Knowledge of human resources procedures including onboarding, training & development programs, and employee relations
  • Prior experience managing medical or specialized office environments is advantageous
  • Skilled in calendar management, scheduling software, filing systems, and clerical tasks
  • Ability to lead a team effectively while fostering a collaborative work environment
