Position Overview: Reporting to the Director of Corporate Services, the Office Manager in NYC will oversee operations at Ascot’s busiest US office, supporting over 200 employees, brokers, vendors, and visitors. This on-site role involves various responsibilities to ensure smooth office functioning and represent the Ascot Way.
Key Responsibilities:
Manage office supplies, stay within budget
Stock breakroom and coffee areas
Coordinate office events and logistics
Liaise with building management and handle maintenance tickets
Welcome visitors, manage access badges
Track workstation assignments and seating charts
Monitor facilities inbox and handle tasks
Support other Ascot offices as needed
Maintain office furniture and fixtures
Ensure vendor insurance compliance
Handle emergencies and office updates
Process invoices with Accounts Payable
Act as health and safety warden
Meeting and Visitor Management:
Prepare conference rooms daily
Support meeting logistics for executives
Organize in-office meals and refreshments
Manage guest registration and security flow
Mail Services:
Handle incoming/outgoing deliveries and mail
Partner with marketing for shipments
Track shipping usage and create labels
Requirements:
Minimum 5 years of office management experience
Ability to work in NYC office, 8 AM – 5 PM, 5 days/week
Strong organizational and communication skills
Proficiency in Microsoft Office
Excellent interpersonal skills
Positive attitude and proactive mindset
Problem-solving skills and multitasking ability
Compensation: $80,000 – $90,000 annually, with potential bonuses and benefits.
