We are seeking a dynamic and highly organized Office Manager to lead the daily operations of our busy office environment. Duties
- Oversee front desk operations, greeting customers and managing the phone system with professionalism and courtesy
- Maintain organized filing systems, manage data entry tasks, and ensure accurate record-keeping using tools like Microsoft Office and Google Workspace
- Handle calendar management, scheduling appointments, meetings, and coordinating personal assistant duties as needed
- Manage office supplies inventory, place orders, and coordinate with vendors to ensure a fully functional workspace
- Provide exceptional customer support through phone etiquette, clerical assistance, and addressing inquiries promptly
- Assist with bookkeeping tasks using QuickBooks or similar accounting software to track expenses and invoices
- Support office management activities including proofreading documents, organizing files, and maintaining office procedures
Skills
- Proven experience in office management or administrative roles with strong organizational skills and attention to detail
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and basic computer literacy
- Excellent communication skills in both English and bilingual capabilities preferred to serve diverse clients and staff, but not a requirement
- Familiarity with multi-line phone systems, data entry, filing systems, and calendar management tools
- Strong customer service orientation with professional phone etiquette and interpersonal skills
- Experience with bookkeeping software such as QuickBooks along with general clerical experience including proofreading and data entry
- Ability to multitask efficiently while managing time effectively in a fast-paced environment, and works well under pressure
- Knowledge of medical or dental receptionist duties is a plus but not required; personal assistant experience is advantageous
