We are seeking a dynamic and highly organized Office Manager to lead the daily operations of our busy office environment. This role is vital in ensuring smooth administrative workflows, maintaining efficient office procedures, and providing exceptional support to staff and visitors alike. Responsibilities

  • Oversee front desk operations, greeting visitors and managing multi-line phone systems with professionalism and courtesy
  • Coordinate calendar management, scheduling meetings, appointments, and conference rooms efficiently
  • Handle clerical tasks such as data entry, filing, proofreading, and maintaining accurate records using Microsoft Office and Google Workspace tools
  • Manage office supplies inventory, order necessary materials, and ensure the workspace remains organized and well-stocked
  • Provide customer support by responding promptly to inquiries, supporting client communications, and assisting with customer service needs
  • Support bookkeeping activities using QuickBooks or similar accounting software to track expenses and manage invoices
  • Assist with special projects including proofing documents, managing correspondence, and supporting administrative tasks as needed

Requirements

  • Proven experience in office management or administrative roles with strong organizational skills
  • Excellent computer literacy including proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace (Gmail, Calendar)
  • Prior clerical experience involving data entry, filing, proofreading, and document management
  • Strong customer service skills with professional phone etiquette and experience handling multi-line phone systems
  • Bilingual abilities are highly desirable to support diverse client needs
  • Familiarity with office equipment such as printers, scanners, and fax machines; experience with office management software preferred
  • Exceptional time management skills with the ability to prioritize tasks effectively in a fast-paced environment
  • Personal assistant or medical/dental receptionist experience is a plus but not required; relevant experience in customer support or administrative roles is essential
