Duties
- Manage front desk operations, including greeting visitors and handling inquiries with professional phone etiquette
- Operate multi-line phone systems efficiently to direct calls and provide information promptly
- Oversee calendar management for meetings, appointments, and events using tools like Google Workspace and Microsoft Office
- Perform data entry, filing, proofreading, and document management to ensure accuracy and accessibility of records
- Coordinate office supplies procurement, inventory management, and equipment maintenance to support daily functions
- Support bookkeeping activities using QuickBooks or similar accounting software for basic financial record-keeping
- Provide exceptional customer service by assisting clients, vendors, and staff with administrative needs and support requests
- Maintain organized filing systems—both digital and physical—to streamline information retrieval
- Assist with personal assistant tasks such as scheduling personal appointments or managing confidential information
Experience
- Proven experience in office management or administrative roles within a professional environment
- Strong clerical skills including data entry, filing, proofreading, and document preparation
- Demonstrated proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
- Familiarity with QuickBooks or other bookkeeping software is preferred
- Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced setting
- Experience handling multi-line phone systems and providing exceptional customer support
- Bilingual abilities are highly valued to facilitate communication across diverse teams and clients
- Previous experience as a receptionist—dental or medical—plus personal assistant roles is advantageous
- Knowledge of office equipment operation including printers, scanners, and fax machines
- Strong time management skills with the ability to manage multiple responsibilities simultaneously
