An established service company in the Clarence area is seeking a reliable, detail-oriented Office Manager to support daily operations and customer communication.
This is a key, year-round office position responsible for coordinating work orders, assisting customers, and helping operations teams stay organized and efficient.
Responsibilities
- Create and send customer invoices using QuickBooks
- Receive and process customer payments, ensuring accurate system entry
- Create work orders and dispatch jobs to field service teams
- Answer inbound phone calls and gather detailed information for the sales team
- Respond to customer inquiries regarding services, scheduling, and general requests
- Maintain organized customer records and job files
- Assist with scheduling and overall office coordination
- Provide administrative support to management and operations staff
- Manage accounts receivable, including follow-ups and payment tracking
- Prepare and organize service agreements and renewals for upcoming seasons
- Handle inbound service calls, customer concerns, and scheduling requests
- Coordinate communication between customers and operations teams
Requirements
- Minimum 3 years of QuickBooks experience (REQUIRED)
- Proficiency in Microsoft Outlook, Word, Excel, and Adobe (REQUIRED)
- Strong organizational and multitasking abilities
- Professional phone presence and customer service skills
- High attention to detail and data accuracy
- Ability to thrive in a fast-paced service environment
- Professional appearance and demeanor at all times
- Prior administrative or customer service experience preferred
Pay: $21.00 – $25.00 per hour
