About the Role
We are a growing engineering firm looking for a reliable, organized Office Coordinator to help keep day-to-day operations running smoothly. This role is a key support position for our engineering team and will be involved in a mix of administrative and project coordination tasks.
Responsibilities
- Answer and manage incoming phone calls and emails in a professional manner
- Prepare, send, and track invoices and assist with billing
- Keep project status updated and organized across multiple jobs
- Assist with submitting plans and documents to jurisdictions through online permit portals
- Maintain digital files, records, and project documentation
- Help coordinate schedules, deadlines, and general office workflow
- Support the engineering and design team with miscellaneous administrative tasks as needed
What We’re Looking For
- Strong organizational skills and attention to detail
- Clear and professional communication (phone and email)
- Ability to manage multiple tasks and prioritize effectively
- Comfortable learning new systems and online portals
- Self-starter who can take initiative and follow through
Preferred (but not required)
- Experience in an engineering, construction, or architecture-related office
- Familiarity with permitting or submittal processes
- Basic bookkeeping or invoicing experience
