We are seeking a detail-oriented Office Coordinator to manage daily office operations for our busy appliance repair company. You will ensure smooth administrative support for our technicians, customers, and team, keeping our business running efficiently.

Key Responsibilities:

  • Customer Service: Greet customers via phone, email, or in-person with professionalism and warmth. Address inquiries, schedule service appointments, and follow up to ensure customer satisfaction.
  • Scheduling & Dispatch: Coordinate technician schedules, assign service calls, and optimize daily routes to maximize efficiency. Communicate schedule changes promptly to technicians and customers.
  • Administrative Duties: Maintain accurate records of service orders, customer interactions, and invoices. Process payments, handle basic bookkeeping, and prepare reports as needed.
  • Inventory Management: Monitor and order parts and supplies, ensuring technicians have the necessary materials for repairs. Track inventory levels and coordinate with suppliers.
  • Office Management: Keep the office organized, manage filing systems, and ensure office equipment is maintained. Order office supplies as needed.
  • Communication Hub: Act as the primary point of contact between technicians, management, and customers, relaying critical information and updates in a timely manner.
  • Problem Resolution: Handle scheduling conflicts, customer concerns, or operational challenges with quick thinking and a solutions-oriented approach.

Preferred Qualifications:

  • High school diploma or equivalent
  • Bilingual – English / Spanish
  • 1 year of experience in an administrative, customer service, or office coordination role, ideally in a service-based industry.
  • Exceptional organizational and multitasking skills with a keen eye for detail.
  • Strong verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook); experience with scheduling or CRM software (e.g., ServiceTitan, Jobber) is a plus.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Customer-focused mindset with a professional and friendly demeanor.
  • Familiarity with the appliance repair industry is an advantage but not required.
  • Ability to handle sensitive information with confidentiality and discretion.

Job Type: Full-time

Pay: $20.00 – $24.00 per hour
