Position Overview:

International Fertility Insurance (IFI) is a leader in fertility insurance solutions. We are seeking a Medical Records Coordinator to join our team. In this role, you will coordinate the secure review and maintenance of medical records to support insurance pre-authorizations and eligibility assessments by ensuring timely receipt of surrogate medical records for OBGYN, prenatal, and delivery services. This role will facilitate the management of patient information, supporting the team and clients and ensuring that all patient records are complete, accurate, and readily accessible in compliance with healthcare regulations and institutional policies.

What you’ll do:

Coordinate and manage requesting patient medical records for OBGYN, prenatal, and delivery cases from various medical institutions, clinics, and providers.
Ensure timely and accurate retrieval of patient records to support the treatment and care process.
Communicate effectively with healthcare providers, hospitals, and other organizations to facilitate record requests and ensure a smooth transfer of information.
Accurately enter patient information into the CRM system, ensuring completeness and confidentiality of sensitive data.
Maintain accurate documentation of record requests and follow up on outstanding or delayed requests.
Ensure all patient medical records are handled in compliance with HIPAA regulations and institutional privacy policies.
Maintain confidentiality of patient data at all times, safeguarding sensitive health information during the records request process.
Support the integration of physical and electronic medical records, ensuring they are linked and accessible within the CRM system.
Investigate and resolve issues related to missing or incomplete records, working with healthcare providers to obtain the necessary documentation.
Track and report any discrepancies or delays in medical record requests and escalate when necessary.

What you’ll need to succeed:

High school diploma or equivalent.
Associate’s degree or certification in Health Information Management or related field desired.
LPN along with clinical experience in reviewing patient records, are a plus.
Previous experience in a medical records department or similar healthcare setting, preferably within an OBGYN, prenatal, or delivery environment.
Familiarity with Electronic Health Records (EHR) systems and medical record management practices.
Strong organizational skills with the ability to handle multiple requests and prioritize tasks effectively.
Excellent verbal and written communication skills to interact with healthcare providers, patients, and team members.
Knowledge of HIPAA regulations and commitment to confidentiality in handling patient records.
Ability to work independently and as part of a team to meet deadlines.
Strong attention to detail and ability to identify discrepancies in medical records.
