Desoto Door is looking for a dependable, organized, and customer-focused Office Assistant / Receptionist to be the first point of contact for our customers. This position is responsible for answering phones, scheduling service calls, assisting customers, supporting office operations, and helping keep the business running efficiently.

The ideal candidate is friendly, detail-oriented, able to multitask in a fast-paced environment, and takes pride in providing outstanding customer service.

Responsibilities

  • Answer incoming phone calls professionally and courteously.
  • Schedule residential and commercial service appointments.
  • Greet customers and visitors.
  • Respond to emails and online inquiries.
  • Enter customer information accurately into our management software.
  • Process invoices and customer payments.
  • Assist with bookkeeping and data entry.
  • Maintain organized customer files and office records.
  • Coordinate with technicians regarding schedules and job updates.
  • Order office supplies and maintain inventory.
  • Follow up with customers regarding estimates and completed work.
  • Request customer reviews after completed jobs.
  • Assist with filing, scanning, and general administrative tasks.
  • Support management with special projects as needed.

REQUIREMENTS

  • Previous office or administrative experience REQUIRED.
  • Excellent customer service and communication skills.
  • Strong computer skills.
  • Experience with Microsoft Office (Word, Excel, Outlook).
  • Strong attention to detail.
  • Excellent organizational and time management skills.
  • Ability to multitask in a fast-paced environment.
  • Professional appearance and attitude.

Preferred Qualifications

  • Experience scheduling service technicians.
