Job Summary
We are seeking a highly organized, reliable, and detail-oriented Office Assistant to support the daily operations of our outpatient therapy clinic. This individual will play a vital role in ensuring a smooth patient experience by assisting with intake, insurance communications, payment processing, and scheduling support. The Office Assistant will also provide backup coverage for the front desk and assist with administrative and clerical tasks. This role requires someone who is comfortable working in a dynamic environment where they will interact regularly with patients, therapists, and staff, while maintaining a professional, efficient, and welcoming office atmosphere.
Responsibilities
- Perform patient intake, including collecting and verifying demographic, insurance, and medical information
- Understand & communicate clearly with patients about their insurance benefits, explaining coverage details, deductibles, co-pays, and co-insurance responsibilities (previous experience preferred)
- Obtain and process privacy agreements and other required documentation to ensure compliance with HIPAA and clinic policies
- Provide backup front desk support, assisting with patient check-in, check-out, and appointment scheduling
- Answer phone calls, route messages appropriately, and provide excellent customer service to patients and caregivers
- Process and post patient payments, including collecting, recording, and applying payments in accordance with office and insurance guidelines
- Support the DME Manager by taking patient calls, documenting needs, and helping as needed with coordination of durable medical equipment
- Maintain accurate and organized patient records, ensuring timely updates in electronic systems
- Perform clerical tasks such as scanning, faxing, filing, and data entry
- Assist with clinic compliance by maintaining orderly documentation and records
- Contribute to the upkeep of the office, including light housekeeping such as tidying common areas, organizing supplies, and ensuring a professional, clean environment
- Perform other administrative tasks as assigned to support the clinic’s efficiency and workflow
Qualifications
- High school diploma or equivalent
- Previous experience in a medical office, healthcare, or administrative role preferred, but training will be provided
- Working knowledge of health insurance terms (deductibles, co-pays, co-insurance) and patient billing practices is helpful
- Strong organizational and multitasking skills with the ability to prioritize responsibilities in a busy environment
- Excellent communication and interpersonal skills, both verbal and written, with the ability to provide compassionate and professional patient service
- Proficiency in Microsoft Office (Excel and Word required); experience with EMR software helpful but not necessary, as training will be provided
- Dependable, detail-oriented, and able to work effectively in a team-oriented environment

Job Type: Full-time
Pay: $18.00 – $22.00 per hour
