About ALWAYS: ALWAYS’ mission is to remove legal barriers to safety, stability, and opportunity for trafficking survivors of all ages and people under 25 who have been impacted by crime, homelessness, or foster care. The organization is made up of attorneys, legal advocates, and social workers who are dedicated to providing no-cost, trauma-informed, culturally responsive services to people who would otherwise not have access to representation or intensive pro se assistance. With the help of ALWAYS, clients and other community members are able to obtain housing, pursue careers, and achieve safe, stable lives for themselves and their families.

Position Type: Part-Time (8–10 hours per week)

Reports To: Managing Attorney

Location: Phoenix, Arizona (in-office, minimum two days per week)

Salary Range: $24–$25 per hour, commensurate with experience

Position Overview: ALWAYS is a small, close-knit team doing intensive legal and social services work. The Office Assistant keeps the physical office and day-to-day operations running smoothly so that attorneys, social workers, and legal advocates can serve clients. This role takes day-to-day direction from the Managing Attorney and provides hands-on support to the full team. It is a strong fit for a current student or early-career professional who is organized, reliable, and interested in gaining experience in a mission-driven legal services environment.

Major Duties and Responsibilities

Office Operations and Facilities

  • Monitor office supply levels and place orders to keep the office fully stocked;
  • Serve as the primary point of contact for building management, cleaning services, and office vendors, and maintain a vendor contact document;
  • Coordinate maintenance and repairs for the office copier/printer and other shared equipment;
  • Arrange for scheduled document shredding in compliance with ALWAYS’ document retention and confidentiality policies;
  • Keep the filing room, conference room, and shared workspaces clean, organized, and functional;
  • Meet the designated staff member at the mailbox to verify incoming mail; mail processing (including checks and case-related correspondence) is handled by other staff;

Administrative and Team Support

  • Make photocopies, scan documents, and prepare materials for attorneys, staff, and clients as requested;
  • Assist with formatting, printing, and assembling documents and packets for meetings, trainings, and client appointments;
  • Prepare outgoing mail, including certified mailings and filings as directed;
  • Maintain organized, up-to-date client and case files in the physical filing system in accordance with office filing protocols;
  • Help maintain shared calendars, contact lists, and internal reference documents;
  • Track and follow up on recurring administrative tasks and deadlines as assigned by the Managing Attorney;

Additional Support

  • Provide logistical support for in-office events, meetings, or trainings, including room setup, materials, and refreshments;
  • Assist with other operational tasks as assigned by the Managing Attorney or Executive Director.

Required Skills and Qualifications

  • High school diploma or equivalent required; current enrollment in or completion of a college or university program is preferred;
  • Strong organizational skills and attention to detail;
  • Dependable, punctual, and able to work independently once trained;
  • Ability to handle confidential information with discretion and professionalism;
  • Effective communication skills, both written and verbal;
  • Proficiency with Microsoft Office (Word, Excel, Outlook) and comfort learning new systems;
  • High degree of cultural sensitivity and the ability to work respectfully with people from diverse backgrounds;
  • Comfort working in an environment where staff serve clients who have experienced trafficking, violence, homelessness, and other trauma.

Preferred Qualifications

  • Written and spoken English/Spanish fluency;
  • Previous experience in an office support, administrative, or clerical role;
  • Familiarity with legal office procedures, including document filing and case file management;
  • Interest in or connection to ALWAYS’ mission areas.

Working Conditions

This position is performed in a professional law office setting. The Office Assistant will be expected to maintain a high standard of confidentiality consistent with the legal profession. Physical requirements include the ability to lift and carry boxes of files or supplies (up to 25 lbs.) and stand or walk for periods of time while organizing the filing room and shared workspaces.
