Overview
We are seeking a dynamic and highly organized Office Assistant to join our team! As an Office Assistant, you will play a key role in maintaining office management systems, supporting daily operations, and creating a welcoming atmosphere for clients and staff alike.
Duties
- Greet visitors at the front desk with professionalism and warmth, managing multi-line phone systems with excellent phone etiquette.
- Handle incoming calls, direct inquiries, and provide prompt customer support to ensure positive interactions.
- Manage calendar appointments, schedule meetings, and coordinate office events using Google Workspace and Microsoft Office tools.
- Perform data entry, filing, and document proofreading to maintain accurate records and organized files.
- Support bookkeeping tasks using QuickBooks or similar accounting software, including invoicing and expense tracking.
- Assist with office management duties such as supply inventory control, mail distribution, and maintaining cleanliness of common areas.
- Provide clerical support including typing correspondence, preparing reports, and managing office equipment efficiently.
Qualifications
- Proven experience in an office environment with strong organizational skills and attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
- Familiarity with QuickBooks or other bookkeeping software is preferred.
- Excellent communication skills in both English and bilingual capabilities are highly desirable.
- Previous experience as a front desk receptionist or medical/dental receptionist is a plus.
- Strong computer literacy with the ability to perform data entry, proofreading, and file management accurately.
- Demonstrated ability to prioritize tasks effectively using time management skills.
