Responsibilities

  • Greet visitors and manage front desk operations with professionalism and warmth
  • Answer multi-line phone systems promptly, directing calls accurately and courteously
  • Perform data entry, filing, and maintain organized records using digital tools like Google Workspace and Microsoft Office
  • Handle scheduling tasks such as calendar management and appointment setting with precision
  • Support bookkeeping activities using QuickBooks or similar accounting software
  • Provide excellent customer service by addressing inquiries, supporting clients, and managing customer support requests
  • Assist with clerical duties including proofreading documents, managing correspondence, and maintaining office supplies
  • Support office management tasks such as organizing files, managing office equipment, and coordinating meetings or events

Skills

  • Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
  • Strong organizational skills with the ability to prioritize tasks effectively
  • Excellent phone etiquette and experience managing multi-line phone systems
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Previous office experience or clerical experience demonstrating reliability and attention to detail
  • Familiarity with QuickBooks for bookkeeping and financial record-keeping
  • Strong typing skills for efficient data entry and document processing
  • Knowledge of office management practices including filing systems, calendar management, and supply organization
  • Customer service expertise with a focus on clear communication and professionalism
  • Ability to handle proofreading tasks accurately while maintaining high-quality standards
  • Experience as a medical or dental receptionist or personal assistant is a plus but not required
