Responsibilities
- Greet visitors and manage front desk operations with professionalism and warmth
- Answer multi-line phone systems promptly, directing calls accurately and courteously
- Perform data entry, filing, and maintain organized records using digital tools like Google Workspace and Microsoft Office
- Handle scheduling tasks such as calendar management and appointment setting with precision
- Support bookkeeping activities using QuickBooks or similar accounting software
- Provide excellent customer service by addressing inquiries, supporting clients, and managing customer support requests
- Assist with clerical duties including proofreading documents, managing correspondence, and maintaining office supplies
- Support office management tasks such as organizing files, managing office equipment, and coordinating meetings or events
Skills
- Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
- Strong organizational skills with the ability to prioritize tasks effectively
- Excellent phone etiquette and experience managing multi-line phone systems
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Previous office experience or clerical experience demonstrating reliability and attention to detail
- Familiarity with QuickBooks for bookkeeping and financial record-keeping
- Strong typing skills for efficient data entry and document processing
- Knowledge of office management practices including filing systems, calendar management, and supply organization
- Customer service expertise with a focus on clear communication and professionalism
- Ability to handle proofreading tasks accurately while maintaining high-quality standards
- Experience as a medical or dental receptionist or personal assistant is a plus but not required
