We are looking for an organized and proactive Office Assistant to join our team on a contract basis in Mountain View, California. In this role, you will be responsible for maintaining the smooth operation of the office, providing exceptional support to staff and visitors, and ensuring a welcoming and attentive environment. This position is ideal for someone with strong organizational skills and a hands-on approach to problem-solving.
Responsibilities:
• Manage the daily operations of the office, ensuring all tasks are completed efficiently.
• Provide excellent hospitality and support to both employees and visitors, maintaining an attentive and welcoming atmosphere.
• Monitor office supplies and reorder items as needed to ensure inventory is well-stocked.
• Coordinate lunch orders and oversee vendor deliveries to meet office needs.
• Greet guests, handle incoming and outgoing mail, and manage basic administrative tasks.
• Collaborate with team members to address facility-related issues promptly and effectively.
• Maintain cleanliness and organization in common areas, meeting rooms, and supply stations.
• Respond to requests and complete assigned tasks in a timely and reliable manner.
• Previous experience in an office assistant or administrative support role, preferably in a corporate setting.
• Strong communication and interpersonal skills with a focus on providing excellent service.
• Exceptional organizational skills and the ability to manage multiple tasks with precision.
• A reliable and punctual work ethic with a proactive approach to responsibilities.
• Comfort working in a hands-on role and addressing various operational needs.
• Proficiency in receptionist duties, including answering calls and managing documentation.
• Familiarity with clerical and administrative office tasks, such as scanning and organizing documents.
