OVERVIEW OF THE ROLE

This role is for an Office Assistant who can support our Pierre office. You will work closely with the full team in Pierre including scheduling, errands, scanning, document management, communication management, meeting coordination, and project assistance. This is a dynamic position requiring the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality. It is anticipated no day will be exactly the same, and that you will have a wide variety of tasks.

FUNCTIONS

  • Support Bridgeford’s Pierre office performing tasks as directed to ensure that company goals and objectives are accomplished and that operations run efficiently
  • Provide critical administrative support to company the Pierre team, including calendar management, travel arrangements, and meeting coordination
  • Maintain and organize filing systems (digital and in paper)
  • Answer the Bridgeford general phone line and take messages or transition calls as appropriate
  • Handle incoming and outgoing mail and deliveries
  • Data entry and record-keeping tasks
  • Liaise with maintenance, vendors, and service providers
  • Order and maintain office supplies and equipment
  • Help coordinate company events or meetings (e.g., agendas, catering, logistics, office culture events)
  • Operate standard office equipment (printers, copiers, scanners, fax machines)
  • Update spreadsheets, databases, and other tracking systems
  • Draft, proofread, and manage professional correspondence and documents on behalf of Pierre office personnel.
  • Perform document management, scanning, saving, and other functions for the team.
  • Run a variety of errands, from trips to the Secretary of State’s office for documents to grabbing lunches.
  • Provide administrative and office support, such as typing, dictation, spreadsheet creation, adding signatures to documents, and working in company’s various software and billing systems
  • Organize team communications and plan events, both internal and off-site
  • Handle confidential information with discretion and professionalism
  • Assist in the preparation and organization of reports, presentations, and other materials
  • Help manage special projects, deadlines, and company-wide initiatives
  • Organize and maintain digital and paper filing systems to ensure information is easily accessible
  • Represent the Company in a professional manner in all interactions

SKILLS REQUIRED

  • Excellent written and verbal communication skills
  • Strong time-management skills and an ability to organize and coordinate multiple concurrent projects
  • Proficiency with Microsoft Office suite, office productivity tools, and an aptitude for learning new software and systems
  • Flexible team player, willing to adapt to changes and unafraid of challenges
  • Ability to maintain confidentiality of information related to the company and its employees

EXPERIENCE AND EDUCATION

— 2+ years of administrative or executive assistant experience
— Bachelor’s degree or above required (ideal, but not a firm requirement)

GENERAL

— Standard business hours are anticipated, but some unscheduled evening and weekend work may be needed to meet high-priority or time-sensitive needs

OFFERED COMPENSATION PACKAGE

Because we believe in transparency, the full compensation package for the role is listed below:

— Base salary TBD (exact amount offered for role is negotiable and depends on prior experience)
— Discretionary Annual Bonus (based on personal and Company performance – estimated $2k+)
— Employer profit share 401(k) contribution to employee of 10% of base salary (no employee match required)
— Cellphone Reimbursement of $150/month ($1,800 annually)
— Annual Max HSA Contribution for Family or Individual – 2025 amounts are $8,550 for Family or $4,300 for Individual (can be used to pay for health expenses and any unused amount employee keeps and can invest, use following year, etc.)

Job Type: Full-time

Pay: $44,474.35 – $53,560.51 per year
