A Leading Pharmaceutical Company based in Western Cape is seeking an Office Assistant to join their organization.

Job Purpose:

The Office Assistant will organize and coordinate office administration and procedures to ensure organizational effectiveness, efficiency, and safety. The Office Assistant is responsible for developing intra-office communication protocols, streamlining administrative procedures, and inventory control. Also handling a wide range of administrative duties and executive support. Assist the Financial function with creditor’s clerk duties and coordinate events

Key Duties & Responsibilities:

Organized and embrace administrative challenges of supporting an office of diverse people:

  • Organise and schedule meetings and appointments
  • Coordinate activities throughout the company to ensure efficiency and maintain compliance with company policy
  • Manage agendas, travel plans, and appointments for senior management
  • Manage emails, letters, packages, phone calls and other forms of correspondence
  • Track and replace office supplies and necessary
  • Submit reports and prepare proposals and presentations as needed
  • Prepare operational reports and schedules to ensure sufficiency
  • Review and approve office supply acquisitions
  • Participate actively in the planning and execution of company events
  • Coordinate with IT department on all office equipment

Finance Responsibilities:

  • Responsible for Creditors payments, invoicing and recording of financial transactions
  • Ensure payments are made to comply within the set standards
  • Ensure transactions are properly recorded and captured
  • Ensure invoices are matched against requisitions, purchase orders and goods received notes with reference to quantities, quality, description, and price.
  • Ensure requisitions, purchase orders and invoices are properly authorized and are in accordance with the appropriate levels of authority.
  • Ensure invoices related to contracts agree to the contract.

Minimum Requirements

  • Diploma in Office Administration or relevant experience
  • Strong organizational and planning skills
  • Knowledge of accounting, data, and administrative management practices and procedures
  • Knowledge of business and management principles
