Office Administrative Assistant

About the Role
Signature Companies is seeking a highly organized, detail-oriented, and self-motivated Office Administrative Assistant to support our Richmond team. This role is ideal for someone who enjoys creating structure, maintaining organization, and ensuring day-to-day office operations run smoothly. The successful candidate will play a key role in supporting administrative functions, office inventory management, vendor coordination, and business development initiatives.
Key Responsibilities
Reception
· Answer and manage incoming calls on company phone lines, ensuring inquiries and messages are accurately directed to the appropriate staff members. Availability required five days per week and one weekend per month.
Office Organization & Administrative Support
- Maintain office supply inventory and ensure approved items remain fully stocked.
- Manage employee uniform ordering, inventory, and distribution.
- Organize and maintain client and project sample displays.
- Scan, file, and digitally organize company documents, including employee records, handbooks, maintenance forms, receipts, and other administrative paperwork.
- Assist with general office organization and recordkeeping.
- Maintain stock of office supplies, including but not limited to: Printing, sanitary, and kitchen/coffee supplies.
Attention to quality is essential. The company has established systems, vendors, and product standards that must be maintained.
Third-Party Billing Administration
- Upload invoices and payment information into third-party billing and payment platforms.
Business Development Support
- Research potential community and pool locations using online resources such as Zillow and other property databases.
- Assist with direct mail marketing campaigns by preparing mailing lists, printing materials, applying labels and postage, and coordinating outgoing mail.
Qualifications
- Previous administrative, office management, receptionist, or customer service experience preferred.
- Strong organizational skills with exceptional attention to detail.
- Reliable and clear communication and customer service
- Proficiency with Microsoft Office and IOS systems.
- Comfortable learning new software platforms and administrative systems.
- Ability to manage multiple priorities independently.
- Strong written and verbal communication skills.
- Professional and proactive work ethic.

Pay: $18.00 – $21.00 per hour
