Responsibilities

  • Manage daily office operations, including scheduling meetings, maintaining calendars, and coordinating appointments to optimize team productivity.
  • Oversee front desk activities with professionalism and courtesy, including greeting visitors, handling multi-line phone systems, and managing incoming correspondence.
  • Supervise administrative staff and coordinate training & development initiatives to ensure team efficiency and growth.
  • Handle vendor management by sourcing supplies, negotiating contracts, and maintaining positive relationships with service providers.
  • Maintain accurate bookkeeping records using QuickBooks or similar accounting software; perform basic payroll processing and assist with budgeting tasks.
  • Organize files systematically, manage document filing systems, and ensure compliance with record-keeping policies.
  • Support human resources functions such as onboarding new employees, managing HR documentation, and assisting with employee relations.
  • Assist in event planning for company meetings or special functions to promote team engagement and company culture.
  • Ensure office equipment is maintained properly; troubleshoot issues promptly to minimize downtime.

Skills

  • Proven experience in office management or administrative roles with strong clerical skills.
  • Excellent communication skills with the ability to interact professionally with staff, vendors, and visitors.
  • Exceptional organizational skills to manage schedules, coordinate multiple tasks simultaneously, and prioritize effectively.
  • Demonstrated supervisory experience leading teams or overseeing administrative personnel.
  • Proficiency in QuickBooks for bookkeeping and payroll processing; familiarity with budgeting processes.
  • Experience in event planning and vendor management to support company functions smoothly.
  • Knowledge of medical office management or healthcare administration is a plus but not required.
  • Strong phone etiquette skills combined with the ability to handle multi-line phone systems confidently.
