About the Opportunity

A well-established construction and real estate development company is seeking an experienced Office Administrator to serve as the face of the organization and support daily office operations. This individual will sit at the front desk, greet visitors, manage incoming communications, and provide administrative support to executive leadership and office staff. The ideal candidate will have prior administrative experience within a construction, real estate, property management, or professional corporate environment and enjoy working in a fast-paced, collaborative office setting.

Responsibilities

Front Desk & Office Management

  • Serve as the first point of contact for visitors, clients, and vendors.
  • Answer, screen, and direct incoming calls.
  • Manage conference room schedules and coordinate meeting logistics.
  • Handle incoming and outgoing mail, packages, and courier services.
  • Maintain office, kitchen, and conference room supplies.
  • Coordinate office vendors and service providers as needed.
  • Assist employees with general office equipment and technology.

Administrative Support

  • Manage calendars, meetings, and appointments for executive leadership.
  • Prepare correspondence, reports, spreadsheets, and presentations.
  • Create and maintain Excel spreadsheets and tracking reports.
  • Assist with PowerPoint presentations and other business documents.
  • Coordinate executive lunches, meetings, and special events.
  • Perform data entry, filing, and document management.
  • Support special projects and other administrative initiatives as assigned.

Project & Operational Support

  • Assist with work order entry and tracking through property management software.
  • Conduct internet research and gather information for various business initiatives.
  • Coordinate special mailings and company-wide communications.
  • Support day-to-day operational needs across multiple departments.

Qualifications

  • 2+ years of administrative, office coordination, or executive support experience.
  • Experience within construction, real estate, property management, architecture, engineering, or a professional corporate office environment preferred.
  • Strong proficiency with Microsoft Office Suite, including Outlook, Word, and Excel.
  • PowerPoint experience preferred.
  • Excellent communication and interpersonal skills.
  • Strong organizational and multitasking abilities.
  • High attention to detail and accuracy.
  • Ability to maintain confidentiality and handle sensitive information professionally.
  • Self-starter with a positive, team-oriented attitude.

Pay: Up to $30.00 per hour
