Role Overview
We’re hiring an Office Administrator to be the backbone of our daily operations. This is a hands-on, on-site role centered on the physical and digital side of our document workflows — scanning, preparing, and organizing records so they move through our systems cleanly and on time — while also supporting general administrative functions that keep the office running smoothly. Key Responsibilities
Document Scanning & Preprocessing
- Run day-to-day document scanning operations from intake through digital upload
- Prepare physical documents for scanning: removing staples and clips, flattening bent or damaged pages, repairing tears, and sorting by batch
- Perform quality checks on scanned images — confirming alignment, legibility, and completeness — and rescan as needed
- Organize and file both physical and digital documents so records can be retrieved quickly and accurately
Mail & Shipping
- Sort, log, and distribute incoming mail and packages
- Prepare outgoing mail and shipments, including labeling and carrier handoff
- Track chain of custody for sensitive documents
Front Office & Administrative Support
- Use Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace for correspondence, scheduling, and document creation
- Handle data entry, proofreading, and general clerical tasks such as typing reports and managing correspondence
General Operations Support
- Keep the scanning area and document storage clean, organized, and stocked
- Assist with inventory tracking and ordering of office and scanning supplies
- Pitch in on other operational tasks during slower document volume periods
What We’re Looking For
- Strong attention to detail — catching a skipped page, a crooked scan, a mislabeled batch, or an error in a document
- Ability to stay focused and consistent on repetitive work over a full shift
- Comfortable on your feet, handling paper, and working with scanning equipment
- Reliable and punctual — the team depends on steady coverage
- Strong organizational and time management skills with the ability to prioritize across multiple tasks
- Computer literacy: email, file folders, basic software navigation, Microsoft Office
- High school diploma or higher
Nice to Have
- Prior experience in mailroom, warehouse, print shop, records management, office administration, or similar hands-on work
- Familiarity with document scanners or multi-function office equipment
