Office Administrator Jobs in Lake Ridge, VA at Samson Properties

The Office Administrator will assist with all administrative aspects of real estate, including, but not limited to: listing marketing packages, transaction coordination and general office administrative tasks. This is a Monday through Friday in-office position.

General Office Responsibilities- This position reports directly to the Office Manager

· Receive and announce agent guests and clients

· Answer incoming calls and requests in a timely fashion

· Keep the office tidy and clean

· Keep the printer stocked with paper and ink supply

· Sort and distribute mail and other items that arrive for the agents from other offices

· Order office supplies as needed

· Attend all Company offered Administrative trainings

Agent Engagement

· Assist Office Manager with new agent onboarding

· Become familiar and comfortable with the Cardinal Nest as well as Samson University

· Train agents as needed to include document management, Dotloop, postcard and flyer creation, etc.

· Assist the Office Manager in rolling out new Company tools, resources and initiatives to agents

· Assist the Office Manger to achieve office goals, recruitment of new agents, retention of current agents and marketing efforts

· Communicate with Office Manager about any days/times they will be out of the office as well as any issues that may arise in the office or with the agents.

· Assist Company staff with onsite or office classes, lunch and learns, or community events

· Promote Cardinal Title Group in the office

· Promote the use of Company resources, tools and staff trainers to help the agents

Concierge Services – Report to Concierge Manager

Transaction Coordination

· Assist agents that sign up for Transaction Coordination

· Maintain contract knowledge and contingency deadline knowledge of all jurisdictions and contract variations

· Serve as the Agent’s support from contract to close

· Maintain strict confidence of all utilized Agent login credentials, business practices and transaction details

· Communication with other agents, client, vendors, lender, title company etc to be professional and courteous at all times.

· Maintains consistent communications with Samson Agent Client at all times

· Follows Transaction Coordinator checklist and procedures on all files

· Tracks deadlines and advises Agent of deadlines to ensure they are met

· Creates and/or maintains Agent Dotloop file to be in compliance with Samson submission procedures and compliance requirements

· Ensures delivery of addenda to title company, lender or other 3rd party as necessary

· Communicates with lender and title company to get a status of the file

· Coordinates all inspections, walk throughs and closing with Agent or client schedule; communicating to co-op Agent as necessary for permission/access/courtesy

· Ensures receipt and proper delivery of earnest money deposit per contract terms

· Ensures receipts for work performed are sent to appropriate parties

· Ensures invoices and rebate letters to be charged at settlement are delivered to settlement office

· Reviews ALTA and CD are accurate to contract

· Communicate with department Manager about any issues

· Populate all notes, conversations, issues and work updates into CRM or designated system

· Complete necessary forms/documentation to provide for agent billing through Concierge Services

Listing Marketing Packages

· Assist agents that sign up for Listing Marketing Packages

· Set up Dotloop with listing paperwork and documentation if not done by Agent

· Reviews and processes all listing documents

· Follows Marketing checklist (depending on service level selected) and procedures on all properties

· Schedule photographs as requested

· Input listings in Bright

· Design, layout and create flyers

· Design, layout and create direct mail campaigns (new listings, open house, coming soon, just sold)

· Process MLS price drops, status changes or edits to listing as requested

· Schedule open house in Bright

· Communicate regularly with Agent to ensure needs are met and Agent is satisfied

· Report marketing activity weekly

Job Type: Full-time

Pay: $18.00 per hour
