Job Summary
To provide high-level operational leadership and oversee the daily business functions of the Twin Ports Testing Office. This role ensures that administrative workflows- from project documentation to billing support run efficiently, allowing technical department managers to focus on field operations and client deliverables

Responsibilities

  • Support the President and Department Managers in the financial management of company
  • Invoicing, accounts receivable tracking, bank, credit card, and general ledger reconciliation, and credit line and term debt management, ensuring payments and cash flow is optimized for the company.
  • Work with Company’s 3rd party accounting firm to ensure financial reports are accurate and tax documents properly prepared.
  • Manage the ADP Payroll system, reviewing and issuing by-weekly payroll and employee expenses based upon directions from the President.
  • Oversee the company’s IT network, ensuring systems are up to date and compatible with office equipment for uninterrupted function, identify needs and acquire supplies, as well as manage vendor relationships
  • Perform a variety of periodic and annual compliance duties including ISNetwork safety, driving records for insurance, drug testing and record keeping
  • Oversee day-to-day office activities as main point of contact in reception area, direct phone calls, field inquiries from sales representatives and keep management informed regularly via performance reports

Requirements

  • Proven experience in office management or administrative roles with strong organizational skills.
  • Proficiency in computer literacy including Microsoft Office (Word, Excel, PowerPoint), Google Workspace, and data entry systems.
  • Excellent phone etiquette skills with experience managing multi-line phone systems.
  • Prior clerical experience in a professional setting such as construction is a plus.
  • Strong organizational skills with the ability to prioritize tasks efficiently and manage time effectively.
  • Experience with software like ADP, Ajera, or similar accounting tools.
  • Knowledge of office procedures including filing systems, proofreading documents, and calendar management.
  • Exceptional customer service skills with a friendly demeanor and positive attitude.

Pay: $25.00 – $35.00 per hour
