Responsibilities
- Manage office operations, greeting visitors and directing them appropriately with professional phone etiquette.
- Maintain accurate records through data entry, filing, and proofreading documents to ensure organizational clarity.
- Oversee calendar management for executives and team members, scheduling appointments and meetings with precision.
- Utilize computer skills including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace to prepare reports, correspondence, and presentations.
- Handle clerical tasks such as photocopying, scanning, mailing, and organizing files to keep the office running smoothly.
- Provide excellent customer support by assisting clients or visitors with inquiries and ensuring their needs are met professionally.
- Take charge of bookkeeping activities using QuickBooks for basic financial record-keeping.
- Assist with office management duties including supply inventory, equipment maintenance, and space organization.
- Coordinate personal assistant tasks such as travel arrangements or special project support as needed.
Qualifications
- Proven office experience with strong clerical skills and familiarity with office management procedures.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace; computer literacy is essential.
- Experience with QuickBooks is a must.
- Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
- Strong communication skills including phone etiquette; bilingual abilities are a plus.
- Demonstrated customer service experience with a friendly and professional demeanor.
- Ability to handle multiple responsibilities simultaneously while maintaining attention to detail.
- Previous experience as a receptionist or medical/dental receptionist is advantageous; personal assistant experience is a plus.
- Knowledge of POS and SSCS, filing systems, data entry, proofreading, and calendar management is highly desirable.
