Scope
The Office Administrator reports to the General Manager and is responsible for leading the day-to-day operations of the HOA Office. This includes ensuring a safe, clean, and welcoming environment for residents and community volunteers, maintaining office systems, and acting as the front-line customer service agent for the Management Team. Responsibilities also include performing covenant enforcement inspections for the assigned area.
Areas Of Responsibility
Provide friendly and efficient customer service to all inquiries, including general inquiries, new tenant and owner orientation, purchases and terminations, amenity rentals, architectural review applications, and assessment payments.
Manage all office filing systems, including ARC, homeowner correspondence, lease files, and archived files.
Accept and review ARC applications to ensure completeness before forwarding to the Covenants Manager.
Familiarize with the Community’s Design Standards Manual.
Maintain cleanliness of storage areas and report violations to homeowners.
Respond to website inquiries within 24 hours.
Maintain and update the Community website and calendar.
Ensure a safe, clean, and comfortable office environment.
Prepare materials for Board meetings, manage conference room reservations, and upload minutes to the website.
Assist in communication with residents and keep Board information current.
Prepare activity reports for review by the Community Association Manager and include them in the monthly financial reports.
Handle special projects and other tasks as assigned.
Skills
Proficiency in MS Office Applications such as Word and Excel.
Caliber background is a plus.
Requirements
Valid Florida Driver’s License.
High school diploma or equivalent; additional education or certifications are a plus.
Fluent in English (spoken and written).
Strong organizational skills with multitasking abilities.
Excellent interpersonal and communication skills.
Computer proficiency, including Microsoft Office and database management.
Experience in community roles or administrative positions preferred.
Cultural sensitivity and empathy.
