Job Summary
We are seeking a highly organized, responsible, and detail oriented office assistant to maintain a friendly and efficient office environment for a construction company. Responsible for all data entry, tracking, compose/edit documents with a high degree of accuracy and other related clerical duties. Supports manager(s) through a variety of tasks related to organization and communication.

Duties

  • Manage front desk responsibilities, greeting visitors and directing them appropriately with professional phone etiquette
  • Operate multi-line phone systems efficiently to handle inquiries and route calls accurately
  • Perform data entry tasks using Microsoft Office and QuickBooks for record keeping and billing purposes
  • Maintain organized filing systems, both physical and digital, ensuring easy retrieval of documents
  • Assist with calendar management and scheduling appointments for staff and executives
  • Support office management activities including supply inventory, order processing, and facility upkeep
  • Provide clerical support such as proofreading documents, preparing correspondence, and managing incoming/outgoing mail
  • Offer exceptional customer service by addressing client questions promptly and professionally

Requirements

  • Valid Driver’s License and Personal Vehicle
  • Proven office experience with strong computer skills including proficiency in technology
  • Prior clerical or administrative experience demonstrating excellent organizational skills and attention to detail
  • Familiarity with QuickBooks or bookkeeping experience is highly desirable
  • Strong phone etiquette skills with experience managing multi-line phone systems
  • Ability to handle multiple tasks efficiently through excellent time management and prioritization skills
  • Personal assistant or construction experience is advantageous but not required
  • Demonstrated ability to proofread documents accurately and maintain confidentiality when handling sensitive information

Pay: $20.00 – $24.00 per hour
