We are hiring a Office Administration Executive join our team and become part of our office family.
The prospective candidate will be representing the company as the first point of contact. The role providing general administrative and clerical support as well as assisting the management team in keeping the office running efficiently.
Clerical & Administrative duties:
– Maintain office filing system and assist our accounts team where necessary
– Maintain & log and proper filing of all supplier invoices received
– Assistance in the administration of the company’s Outdoor Media portfolio
– Management support incl. sourcing of quotations & handling media bookings
– Assisting accounts department with billing processing of invoices and other basic book keeping tasks
– Assistance with utility services errands incl. processing of insurance renewals and others services such as ARMS & LESA
– Handling of office Petty Cash
– Maintaining excel sheets for various reports
General Duties include:
– Handing preparation of boardroom for meetings and manage meeting room schedules.
– Meet & greet incoming visitors including basic hospitality
– Handling office correspondence (incoming / outgoing mail and couriers)
– General errands to post office, bank, clients & suppliers
– Assist the team in client events and activities
– Other duties as may be assigned from time to time by the company.
Office Premises Management duties include:
– Provide support and guidance to new employees regarding office protocols and procedures
– Scheduling of any recurrent office maintenance & servicing
– Keeping track of office consumables (incl. stationery, cleaning & kitchen supplies, coffee and snacks) within the budget guidelines of the company
– Managing office cleaning schedule
Requirements include:
• Previous experience in a similar role
• Knowledge of Microsoft Word, Outlook, Excel
• Driving license (B, B1)
• Have a minimum ‘O’ level standard of education
• Have excellent command of written and spoken English & Maltese
• Possess excellent telephone manners and good communication skills
• Attention to detail and highly organised, proactive individual, capable of working on their own initiative whilst being a dedicated team player
• Have a smart appearance and a positive attitude
Working hours will be 08:30 till 17:30 however the suitable candidate will be flexible to work occasional different time frames as per company’s business exigencies.
