Duties
- Coordinate crew scheduling with our clients
- Answer multi-line phone systems promptly, directing calls accurately and courteously
- Maintain organized filing systems—both digital and paper—to ensure quick access to important documents
- Schedule appointments, meetings, and events using calendar management tools, ensuring optimal time utilization
- Handle data entry tasks with precision using Microsoft Office, Google Workspace, and other office software
- Support office management tasks such as supply ordering, mail distribution, and maintaining office equipment
- Provide excellent customer support by addressing inquiries efficiently and maintaining positive communication
- Proofread documents for accuracy and clarity before distribution or submission
- Assist with clerical duties including photocopying, faxing, and filing to keep the office organized
Skills
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Excellent organizational skills with the ability to prioritize tasks effectively in a busy environment
- Bilingual abilities are highly valued to assist diverse clients and team members
- Experience with multi-line phone systems and professional phone etiquette is essential
- Knowledge of QuickBooks for bookkeeping tasks is preferred but not mandatory; training available for the right candidate
- Demonstrated office management experience with strong clerical skills including filing, data entry, proofreading, and calendar management
- Exceptional time management skills to handle multiple responsibilities efficiently
- Personal assistant experience or previous administrative roles that showcase reliability and professionalism
