We are building with a focus on exceptional patient experience, smooth new-patient onboarding, and highly organized clinic operations.

Position Summary:

The New Patient & Front Desk Coordinator is the first point of contact for new and existing patients and plays a key role in how patients enter and move through our care.

You will:

  • Guide new patients from first contact to first visit.
  • Coordinate schedules so providers are seeing the right patients at the right times.
  • Support patients in following through on their recommended plans and services.

This role blends front desk, patient coordination, and scheduling optimization with a strong focus on organization, follow-through, and communication.

Key Responsibilities

New Patient Intake & Coordination

  • Serve as the primary contact for new patients from phone, web, physician, community, and partner-gym referrals.
  • Learn each patient’s goals (pain relief, recovery, performance, weight loss, longevity) and match them with the appropriate provider or program.
  • Coordinate records, referrals, and pre-visit information so new patients arrive prepared for their evaluation.

Front Desk & Patient Experience

  • Create a warm, professional welcome for every patient at check-in and check-out.
  • Clearly explain visit flow, next steps, and how our different services work together.
  • Stay calm and personable during high-volume times while keeping wait areas and front desk organized.

Scheduling, Follow-Up & Attendance

  • Build and maintain accurate schedules for providers and recovery services; minimize gaps and last-minute openings.
  • Execute reminder processes (call/text/email) to keep show rates high and reduce no-shows.
  • Proactively follow up on missed or cancelled appointments to reschedule.
  • Re-engage past patients and expiring programs as directed by leadership using approved outreach templates.

Plan Coordination & Financial Logistics

  • After clinical recommendations are made, reinforce the plan details so patients are clear on frequency, duration, and goals of care.
  • Coordinate with the appropriate team member to review financial details, benefits, and payment options.
  • Collect copays, deductibles, and payments for packages and services at check-in/check-out in a professional, patient-friendly manner.

Administrative & Clinical Support

  • Manage intake forms, medical records, imaging, and inter-office communications within our EMR/practice management system.
  • Maintain the Five-Point Checklist for evaluations, diagnostics, DME, and rehabilitation and ensure providers have what they need before each visit.
  • Support leadership and clinical staff with special projects related to patient experience, scheduling, and process improvement.

How Success Is Measured

  • Percentage of new inquiries scheduled for an initial visit (schedule rate).
  • Percentage of scheduled patients who attend their visit (show rate).
  • Timeliness of follow-up on missed visits and referrals.
  • Provider schedule utilization and positive patient feedback mentioning the front desk experience.

Requirements

  • 1–2 years of experience in a medical office, patient coordination, or high-volume customer-facing role.
  • Strong phone presence; able to build rapport quickly and communicate clearly.
  • Comfortable guiding patients through next steps, expectations, and basic financial/logistical questions.
  • Highly organized, detail-oriented, and able to manage multiple tasks at once.
  • Familiar with Microsoft Office and practice management/EMR systems (or able to learn quickly).
  • Must be able to work evenings and maintain reliable attendance.

Pay: $20.00 – $25.00 per hour
