Job Summary
We are seeking a detail-oriented and highly organized Merchandising Admin Assistant to support the Buying and Planning team across retail stores and e-commerce operations. This role is responsible for processing purchase orders, maintaining accurate inventory and product data, supporting stock transfers, and providing timely reporting and administrative assistance to ensure smooth day-to-day planning operations.
The ideal candidate has strong administrative and coordination skills, excellent attention to detail, and the ability to work collaboratively within a fast-paced retail or merchandising environment.

Experience
- Previous administration, merchandising, planning, inventory, or retail operations experience preferred
- Experience in purchase order processing, reporting, or inventory coordination is an advantage
- Retail, fashion, or e-commerce industry experience preferred
Technical Skills
- Proficient in Microsoft Office applications including:
- Excel
- Word
- PowerPoint
- Outlook
- Experience with merchandising or inventory systems is advantageous, such as:
- Aptos Merchandising
- Momentis
- BI Report Manager
- JDA / SAP / ERP systems
Key Responsibilities
Purchase Order Coordination
- Process and maintain accurate purchase orders for retail stores and e-commerce operations
- Update and amend purchase orders as required
- Ensure packing lists and shipment details are received and updated prior to delivery
- Monitor order progress and close completed orders in a timely manner
- Maintain organized filing and documentation records
Planning & Data Support
- Maintain and update style sizing data and product information
- Generate sizing and inventory-related reports for the Buying and QA teams
- Assist in data analysis and planning support activities
- Ensure all reports are completed accurately and within deadlines
Stock & Inventory Coordination
- Support stock transfers between warehouses, fulfillment centers, and retail stores
- Assist in maintaining healthy e-commerce and retail stock levels
- Coordinate with planning and inventory teams regarding stock movement requirements
Data Maintenance & System Updates
- Maintain master product and collection data within company systems
- Update store attributes, seasonal recodes, and merchandising information as required
- Ensure data accuracy and integrity across all planning and merchandising platforms
Administration & Reporting
- Prepare reports, presentations, and planning documents as requested by the Planning Manager
- Provide general administrative support to the Buying and Planning teams
- Assist with data tracking, reporting, and documentation management
- Participate in meetings and support cross-functional team initiatives
Communication & Collaboration
- Maintain effective communication with internal departments including Buying, Inventory, IT, and Merchandising teams
- Support the Planning team during peak trading periods and operational deadlines
- Build positive working relationships with internal stakeholders
