Medical Spa Front Desk & Owner’s Assistant
We are looking for an energetic, highly motivated, and experienced Front Desk & Owner’s Assistant to join our medical spa team in Miami.
This is a fast-paced, client-facing position that combines front desk responsibilities, appointment scheduling, sales follow-up, and direct administrative support for the owner.
The ideal candidate is confident, organized, proactive, and motivated by both client satisfaction and results.
Previous medical spa experience is mandatory. Applicants without medical spa experience will not be considered.
This position is well compensated and includes a competitive hourly rate with additional earning opportunities based on performance, appointment bookings, and package sales.
Responsibilities
- Welcome clients and provide a professional, luxury experience
- Answer phone calls, text messages, emails, and social media inquiries
- Schedule, confirm, reschedule, and follow up on appointments
- Follow up with new leads and existing clients
- Convert inquiries into booked appointments
- Explain services, promotions, memberships, and treatment packages
- Support package and membership sales
- Collect deposits and process client payments
- Maintain accurate client profiles, appointment notes, and records
- Communicate with providers regarding schedules and client needs
- Assist the owner with administrative and daily operational tasks
- Help manage inventory, reports, staff communication, and office organization
- Handle client questions and concerns professionally
- Keep the front desk and reception area organized and presentable
- Support the team wherever needed to ensure smooth daily operations
Requirements
- Previous medical spa experience is required
- Energetic, motivated, and results-driven
- Strong knowledge of medical spa services, packages, memberships, and booking procedures
- Front desk, appointment-setting, client follow-up, or sales experience
- Excellent verbal and written communication skills
- Professional, polished, friendly, and confident personality
- Strong organizational and multitasking skills
- Comfortable discussing services, promotions, and treatment packages with clients
- Confident following up with leads by phone, text, email, and social media
- Comfortable using booking software, email, spreadsheets, and payment systems
- Dependable, punctual, detail-oriented, and able to work independently
- Able to remain professional and productive in a fast-paced environment
- Spanish is a plus

Schedule
Full-time position. Flexible availability, including some evenings or weekends, may be required based on the medical spa’s schedule.
