We are seeking a detail-oriented and patient-focused Medical Scheduler & Referral/Fax Coordinator to support a busy gastroenterology practice. This role is responsible for managing patient scheduling, coordinating referrals, processing incoming and outgoing faxes, handling high-volume phone communications, and ensuring accurate documentation within the electronic medical record (EMR) system.
The ideal candidate has strong organizational skills, excellent communication abilities, and experience working in a fast-paced medical environment. Gastroenterology experience is strongly preferred, along with familiarity with specialty-specific scheduling workflows, referrals, and patient coordination processes.
Key Responsibilities
Patient Scheduling & Access Coordination
- Answer incoming patient calls promptly and professionally.
- Schedule clinic appointments based on inbound calls, voicemails, referrals, and provider requests.
- Ensure patients are scheduled with the appropriate physician or Advanced Practice Provider (APP).
- Verify appointment eligibility and scheduling criteria before booking.
- Identify scheduling issues or requests that require escalation and route appropriately.
- Coordinate appointment rescheduling, cancellations, and provider schedule adjustments.
- Route procedure scheduling requests through designated channels and departments.
Referral Coordination
- Receive, review, and process incoming patient referrals.
- Verify referral completeness and required supporting documentation.
- Coordinate with referring providers, specialty offices, and patients to obtain missing information.
- Track referral status and ensure timely follow-up.
- Maintain accurate referral records within the EMR and practice management systems.
- Communicate referral updates to patients and clinical teams as needed.
Fax Management & Document Processing
- Monitor incoming fax queues throughout the day.
- Review, sort, and route incoming faxes to the appropriate departments or providers.
- Send outgoing faxes related to referrals, medical records, authorizations, and patient care coordination.
- Confirm successful fax transmissions and maintain documentation of communications.
- Upload and index documents accurately into the EMR system.
- Ensure all patient information is handled in accordance with HIPAA regulations.
Call Management & Patient Communication
- Triage incoming calls and route patients to the appropriate team members.
- Perform warm transfers while providing necessary context to receiving staff.
- Follow established call scripts and communication protocols.
- Deliver exceptional customer service to patients, providers, referring offices, and healthcare facilities.
- Escalate urgent patient concerns and time-sensitive requests promptly.
Voicemail Management
- Monitor and manage voicemail queues during assigned coverage periods.
- Return patient calls or route messages appropriately before the end of each workday.
- Document voicemail activity accurately within the EMR.
- Prioritize and escalate urgent messages according to office protocols.
Documentation & EMR Management
- Accurately document all patient interactions, calls, referrals, and scheduling activities.
- Create and route tasks to providers, nurses, and care teams when necessary.
- Maintain detailed notes including patient concerns, requests, and follow-up actions.
- Ensure documentation meets practice standards for accuracy and completeness.
- Utilize EMR systems such as gGastro or similar platforms efficiently.
Care Team Coordination
- Collaborate closely with providers, nurses, schedulers, and administrative staff.
- Route clinical inquiries and specialty-specific requests to the appropriate care teams.
- Facilitate communication between patients, providers, referral sources, and procedural scheduling departments.
- Support workflow efficiency through proactive communication and follow-up.
Qualifications
- Minimum 1–2 years of experience in a medical scheduling, patient access, referral coordination, or medical office role.
- Experience handling high-volume phone communications in a healthcare setting.
- Strong understanding of medical terminology and healthcare workflows.
- Experience with EMR systems (gGastro or similar preferred).
- Excellent verbal and written communication skills.
- Strong organizational skills and attention to detail.
- Ability to multitask and manage competing priorities in a fast-paced environment.
- Proficiency with Microsoft Office and standard office technology.
- Experience working in a gastroenterology (GI) practice strongly preferred.
- Familiarity with GI procedures such as colonoscopy, endoscopy, and related patient workflows.
- Previous experience processing referrals and managing fax communications.
- Knowledge of specialty scheduling processes and patient triage workflows.
- Experience with scheduling software, task management systems, and healthcare communication platforms.
- Understanding of HIPAA regulations and patient confidentiality requirements.
