Haberman Law, a Nursing Home Abuse and Medical Malpractice firm, seeks a highly organized, self-motivated, and detail-oriented Medical Records Coordinator to join our team. The position is full-time and in-person, with an annual salary of $50,000 – $60,000, commensurate with experience.

Position Summary

The Medical Records Coordinator plays a critical role in the management and development of our medical malpractice and nursing home abuse and neglect litigation cases. This individual will be responsible for identifying, obtaining, organizing, and analyzing medical records, nursing home records, and other healthcare documentation throughout the life of a case, from intake through trial preparation.

Responsibilities

  • Determine which medical records, billing records, nursing home records, and other healthcare documentation are necessary for each case.
  • Request, obtain, and track medical records from hospitals, nursing homes, physicians, and other healthcare providers.
  • Review records to identify missing information, gaps in treatment, and additional records that may be required, including MDS assessments, care plans, medication administration records (MARs), nursing notes, and incident reports.
  • Create detailed medical timelines and chronologies to assist attorneys in case evaluation and litigation strategy.
  • Organize and maintain medical records databases and case files.
  • Assist attorneys with trial preparation, including preparing medical exhibits, timelines, and supporting documentation.
  • Communicate regularly with clients and their families to obtain information and facilitate record collection.
  • Coordinate with healthcare providers, records custodians, experts, and other third parties as necessary.
  • Manage multiple cases simultaneously while meeting deadlines and maintaining a high degree of accuracy.
  • Assist with other litigation support tasks as needed.

Qualifications

  • Prior experience working with medical records in a legal, healthcare, insurance, or related setting is strongly preferred.
  • Familiarity with medical terminology and the ability to read and understand medical records, identifying missing or incomplete documentation.
  • Excellent organizational skills and exceptional attention to detail.
  • Strong analytical and critical thinking abilities.
  • Excellent written and verbal communication skills.
  • Proficiency with Microsoft Office and the ability to learn case management software.
  • Ability to prioritize competing demands and work independently with minimal supervision.
  • Self-starter with a strong work ethic, initiative, and a willingness to take ownership of responsibilities.
  • Positive attitude, professionalism, and a team-oriented mindset.
