Position Summary
We are seeking a detail-oriented and organized Medical Records / Central Supply Coordinator to join our skilled nursing facility team. This dual-role position is responsible for maintaining accurate resident medical records in compliance with state and federal regulations while ensuring appropriate inventory and distribution of medical supplies throughout the facility.
The ideal candidate will have experience in long-term care and a strong understanding of Florida regulations, including compliance standards from the Agency for Health Care Administration (AHCA) and the Centers for Medicare & Medicaid Services (CMS).
Essential Duties & Responsibilities Medical Records
- Maintain and organize resident medical records in accordance with federal and Florida state regulations
- Ensure timely filing, scanning, and retrieval of resident documentation
- Monitor chart audits for completeness and regulatory compliance
- Safeguard confidentiality of protected health information (PHI) in compliance with HIPAA
- Assist with preparation for surveys and audits
Central Supply
- Order, receive, store, and distribute medical and nursing supplies
- Monitor inventory levels and maintain appropriate par levels
- Conduct routine inventory counts and reconcile discrepancies
- Maintain supply storage areas in compliance with infection control and safety standards
- Communicate with vendors to ensure timely and cost-effective purchasing
Qualifications
- High school diploma or equivalent required
- Experience in medical records and/or central supply in a skilled nursing or healthcare setting preferred
- Knowledge of long-term care regulations and documentation standards
- Strong organizational and time-management skills
- Proficient in electronic medical records (EMR) systems
- Ability to work independently and collaboratively
Physical Requirements
- Ability to lift up to 30–40 pounds
- Frequent walking, standing, bending, and reaching
- Ability to push supply carts as needed
