As a Medical Receptionist and Assistant, you will play a pivotal role in ensuring the efficient operation of our clinic while delivering exceptional patient care. Reporting to the Branch Manager, you will manage front desk operations, patient records, appointment scheduling, and support medical providers with preparation and documentation. Your proficiency in medical terminology, administrative processes, and organizational skills will enhance patient experiences and optimize clinic workflows.

Responsibilities

  • Must be 21 to apply
  • Serve as the welcoming face of the clinic, greeting patients and visitors professionally and warmly
  • Manage front desk phone lines, taking messages and directing calls efficiently
  • Schedule and coordinate patient appointments, maintaining an organized and up-to-date calendar
  • Check patients in and out, collect co-pays, and verify insurance information accurately
  • Maintain and update patient records, ensuring accuracy and confidentiality of medical, personal, and financial information
  • Perform data entry and manage electronic medical records with precision
  • Handle incoming and outgoing mail, filing, and document organization
  • Provide general administrative support to ensure smooth office operations
  • Monitor patient flow, notifying providers of arrivals, service delays, and appointment updates to maintain schedule efficiency
  • Maintain office and clinical inventory, anticipate supply needs, place orders, and coordinate equipment service and repairs
  • Assist medical providers with treatment preparation, including medication handling, documentation, and tools for procedures
  • Demonstrate continuous improvement in clinic processes, contributing ideas and feedback to enhance efficiency and patient satisfaction
  • Exhibit professional conduct and uphold patient confidentiality at all times

Experience & Skills

  • Previous experience as a front desk receptionist or medical assistant is preferred
  • Knowledge of medical office procedures and terminology is a strong plus
  • Strong organizational skills and ability to prioritize multiple tasks effectively
  • Proficient with computer systems, including Google Suite and Apple OS, for scheduling and data entry
  • Excellent verbal and written communication skills
  • Commitment to maintaining confidentiality and professionalism

Training

  • 2-week orientation period (must achieve near-full proficiency by the end of orientation)
