Medical Office Receptionist/Admin Assistant
JOB TITLE: Receptionist
Job Supervisory Responsibilities: None
GENERAL SUMMARY: A non exempt position, office staff person who provides customer service to visitors/vendors as well responsibility to answer phones and maintain the smooth operation of the RAA Admin office.
ESSENTIAL JOB RESPONSIBILITIES:
- Answer and route phone calls
- Retrieve and sort mail daily with delivery to each employees desk
- Accept in office patient payments and provide receipts
- Notifying billing company of payments and filing all payments
- File all items at least twice per week both physical and electronic
- Work collaboratively with Credentialing Specialist and Bookkeeper/HR Associate to ensure duties are covered and office functions smoothly
- Provide quotes to patients or direct them to the business office
- Process financial hardship applications
- Track inventory of medical forms and reorder as directed by Administrator
- Conduct weekly stock checks for beverages such as coffee, creamer, soda, water, etc.
- Conduct bi weekly stock check for office supplies
- Email office staff to confirm if additional items are needed to be ordered prior to placing order
- Review order with Administrator for office supplies, beverages and other sundries before placing order
- Track ALL order receipts, verify items delivery, and file
- Maintain kitchenette cleanliness by wiping down surfaces and replenishing coffee station and beverages every other day.

- Refill Ice trays in freezer each afternoon
- Clean inside of refrigerator and freezer once per month during the last week of the month
- Vacuuming entire office every Friday
- Emptying garbage and recycle in conf area when ¾ full.
- All garbage needs to be emptied every Friday regardless if ¾ full or not and replacing with a new bag.
- Water plants as needed
- Record meeting minutes and prepare minutes for meetings
- Assist with arranging monthly / adhoc meetings as needed using outlook calendar
- Ordering meals for candidate lunches and other events as requested by Administrator
- Ordering Cards and gift certificates for employees birthday reminders under direction of Administrator
- Sending out monthly birthday cards and gift certificates for staff
- Assist with Holiday Hospital and ASC lunches including Summer holiday, retirement events as well as other events
- Able to deliver forms to ASC’s
- Bi yearly review of OIG’s provider exclusion list for all providers
- Other duties as assigned by Administrator

JOB REQUIREMENTS:
Education: 2 year AA degree preferred or equivalent work experience
Technical Skills: Must have working knowledge of office applications with experience using Excel, Word, and Microsoft teams/Exchange/outlook
Communication Skills: Must possess the ability to tactfully address physicians, visitors, vendors, governmental agencies/third party payers, patients and the general public. Must work harmoniously with professional and non-professional staff. Must have a cheerful disposition and be able to maintain good staff relations and employee morale.
Organizational skills: Must be organized, a self starter, and have an eye for detail and accuracy. Must be able to demonstrate good judgment, ask for assistance when needed.
Job Experience: Preferred to have at least 2 years general office skills with a medical practice. Other relevant experience may be substituted.
Working Conditions: Works in an office area, 40 hours per week. Office Hours 8am-4:30pm with 30 min unpaid lunch. (NOT A REMOTE WORK POSITION) sits, stands, bends, lifts and moves intermittently during the working hours. Interacts with others under a varied set of conditions and circumstances, some stressful. Must be able to handle difficult situations with calmness and have good listening skills.
REQUIRES dependable transportation to and from work.
